 | Membership Policy
AOTC
Membership is established on an annual basis with the
anniversary date of a new member established when first becoming a member
of the club. That renewal date will remain unchanged throughout the
member’s history, unless all activity and participation by the member
ceases for a period of at least one year or more. May all members be
reminded that the AOTC is a non-profit club operated for the benefit of the
members and community. Your active participation is most desired and
continually encouraged. NOTE: The anniversary date of your membership is on
your newsletter mailing label. Your membership I.D. is the mailing label on
your newsletter.

 | Activity Policy
1. Activity write-ups must go through the appropriate coordinator and
are due at the General Membership Meeting.
2. All activities will have a $5.00 guest charge for non-members. Sign up
sheets and monies should be turned into the Treasurer or Activities
Chairperson.
3. A payment request for expenses related to an activity must first be
approved in writing by the Activities Chairperson prior to submission to
the Treasurer.

 | Guest Policy
We welcome guests! Please give us a try! Guests are permitted to attend
three General Meetings at no cost.
We encourage guests to participate in activities (rules and space
permitting). Effective March 1, 1997, non-members will be charged $5.00 for
all activities that are free to members. Selected activities are open to
members only. For paid activities, non-members will be assessed an
additional fee based on the cost of the activity. Guests must sign a
liability release and be aware of the ACTIVITY
RATING GUIDE. Guests must call leaders before participating in any AOTC
activity.

 | Refund Policy
Cancellations require a forfeiture of deposits unless:
1. Cancellation is made prior to refund cut-off date.
2. Trip leader fills space from a waiting list.
3. Person canceling provides a replacement
4. AOTC cancels the trip.
A minimum amount, equivalent to the AOTC surcharge, is assessed for
cancellation. Switching is considered canceling the original trip.
Cancellations after refund deadlines established for the trip require
forfeiture of stipulated amounts should cancellation a) increase the cost
to the remaining participants, b) require use of AOTC funds to subsidize
the trip, or c) jeopardize completion of the trip.
The AOTC imposed cancellation fee and forfeiture of funds already paid
shall apply regardless of reasons for cancellation. Should cancellation
result in a related partial or whole refund from a third party agreement,
an amount equal to the refund from the third party, less the nominal
cancellation fee, shall be refunded to the canceling party. No refunds will
be made for “no shows”.
A trip reservation on behalf of AOTC constitutes payment of a deposit. Sign
ups without deposits are considered interest only and go on a waiting list.
The waiting list priority shall be as follows:
1. Members with a deposit
2. Non-members with a deposit (if trip costs over $100 the participant must
be a member)
3. Members without a deposit
4. Non-members without a deposit Membership Policy

The cost of a business card size ad is $500 per year for members.
Advertisers must provide an image suitable for presentation on our Website.
